Job Purpose
The Finance & Administrative Executive plays a pivotal role in supporting the Finance Director and BPO-Finance in the implementation of the ERP system, as well as other assigned tasks. This position requires strong organizational, communication, and problem-solving skills to effectively manage administrative functions and contribute to the overall success of the project.
Key Responsibilities
Administrative Support

Assist the BPO-Finance with project-related administrative tasks, such as preparing reports, presentations, and correspondence.

Maintain organized records of project documentation, including contracts, training materials, UAT files, and system specifications.

Coordinate document flow between departments to ensure timely review and feedback.
Scheduling and Coordination

Support BPO-Finance in planning and scheduling meetings, workshops, and training sessions for the ERP implementation team and key stakeholders.

Ensure schedule alignment to facilitate resource availability for critical project milestones.

Track deadlines and assist the team in meeting project timelines.
Communication Management
Logistical Support

Arrange meeting venues, including technology setup, materials preparation, and refreshments as required.

Manage travel arrangements for team members attending off-site training sessions.

Assist in the procurement of equipment, software, and tools necessary for ERP implementation.
Training Assistance

Coordinate user training sessions for BPO-Finance, including scheduling, registration, and attendance tracking.

Distribute training materials and provide administrative assistance during workshops.

Collect and compile feedback from training sessions, assisting in result analysis and reporting.
Problem-Solving and Adaptability

Support troubleshooting of administrative and logistical challenges encountered during ERP implementation.

Adapt to dynamic project needs and assist the team in identifying and implementing efficient solutions.
Other Tasks

Assist the Finance Director with presentation materials (PowerPoint), report preparation (Excel), and data tracking or monitoring activities.

Perform other administrative duties as assigned by the Finance Director to support the Finance Department.
Education and Experience
-
Bachelor’s degree in Business Administration, Finance, Accounting, or IT (preferred).

Minimum 2 years of related working experience.

Proficient in Microsoft Office applications (Excel, PowerPoint, Word).

Strong organizational, communication, and interpersonal skills.

High attention to detail and ability to multitask effectively.

Team-oriented, adaptable, and proactive in managing changing priorities.
