Job Purpose \n\nThe Finance & Administrative Executive plays a pivotal role in supporting the Finance Director and BPO-Finance in the implementation of the ERP system, as well as other assigned tasks. This position requires strong organizational, communication, and problem-solving skills to effectively manage administrative functions and contribute to the overall success of the project. \n\nKey Responsibilities \n\nAdministrative Support \n\n\n\t- \n\t
Assist the BPO-Finance with project-related administrative tasks, such as preparing reports, presentations, and correspondence. \n\t \n\t- \n\t
Maintain organized records of project documentation, including contracts, training materials, UAT files, and system specifications. \n\t \n\t- \n\t
Coordinate document flow between departments to ensure timely review and feedback. \n\t \n \n\nScheduling and Coordination \n\n\n\t- \n\t
Support BPO-Finance in planning and scheduling meetings, workshops, and training sessions for the ERP implementation team and key stakeholders. \n\t \n\t- \n\t
Ensure schedule alignment to facilitate resource availability for critical project milestones. \n\t \n\t- \n\t
Track deadlines and assist the team in meeting project timelines. \n\t \n \n\nCommunication Management \n\n\n\nLogistical Support \n\n\n\t- \n\t
Arrange meeting venues, including technology setup, materials preparation, and refreshments as required. \n\t \n\t- \n\t
Manage travel arrangements for team members attending off-site training sessions. \n\t \n\t- \n\t
Assist in the procurement of equipment, software, and tools necessary for ERP implementation. \n\t \n \n\nTraining Assistance \n\n\n\t- \n\t
Coordinate user training sessions for BPO-Finance, including scheduling, registration, and attendance tracking. \n\t \n\t- \n\t
Distribute training materials and provide administrative assistance during workshops. \n\t \n\t- \n\t
Collect and compile feedback from training sessions, assisting in result analysis and reporting. \n\t \n \n\nProblem-Solving and Adaptability \n\n\n\t- \n\t
Support troubleshooting of administrative and logistical challenges encountered during ERP implementation. \n\t \n\t- \n\t
Adapt to dynamic project needs and assist the team in identifying and implementing efficient solutions. \n\t \n \n\nOther Tasks \n\n\n\t- \n\t
Assist the Finance Director with presentation materials (PowerPoint), report preparation (Excel), and data tracking or monitoring activities. \n\t \n\t- \n\t
Perform other administrative duties as assigned by the Finance Director to support the Finance Department. \n\t \n \n\nEducation and Experience \n\n\n\t- \n\t
Bachelor’s degree in Business Administration, Finance, Accounting, or IT (preferred). \n\t \n\t- \n\t
Minimum 2 years of related working experience. \n\t \n\t- \n\t
Proficient in Microsoft Office applications (Excel, PowerPoint, Word). \n\t \n\t- \n\t
Strong organizational, communication, and interpersonal skills. \n\t \n\t- \n\t
High attention to detail and ability to multitask effectively. \n\t \n\t- \n\t
Team-oriented, adaptable, and proactive in managing changing priorities. \n\t \n \n
